A block of rooms for NPD participants have been secured for this event at the Argonaut Hotel. The cost of your hotel room will be covered by NPD; however, participants must self-register using their own credit card. When registering, please use the group code NPD.  Government Rate of $155.00 has been secured for NPD participants.

You will be our guest for three nights: February 13-15, 2012.  If travel requirements dictate, east coast travelers may request approval for a fourth night stay.  This approval must be secured before air travel arrangements are confirmed.  Air travel reservations and hotel booking do not guarantee NPD approval for additional nights.  Written prior approval from Kim Coates is necessary to confirm approval for a fourth night stay on February 16, 2012.

The Argonaut Hotel, a Kimpton property located in San Francisco's Fisherman's Wharf, is an historic waterfront hotel named for the Gold Rushers who sought their fortune here. The Argonaut offers guests an inviting atmosphere, personal services and amenities, and the experience of a unique San Francisco boutique hotel.

Travel Information

Arrival/Departure

Your ability to participate in the full event is pre-requisite of attendance.  Participants are required to arrive on Monday, February 13 and depart from the hotel NO EARLIER than 1 pm on Thursday, February 16. Please allow enough time for transportation between hotel and airport.  Anticipate 45-60 minutes travel time (depending on time of day and traffic) between the airport and hotel. 

Air Travel

NPD will pay for the cost of your air travel to this event, up to $500. Once you are fully registered and a confirmed participant for the conference, you will be able to book your air travel through our conference organizers at NXTevent and their travel partners.

All travel must be booked through NXTevent and their travel partners. Reserving your reservation through this method does not require you to pay for your air travel.

Booking Air Travel: Complete Your Travel Profile

Please follow these steps to secure your air travel arrangements:

  1. Download and complete the Travel Profile Form (Word.doc) including the check boxes and your signature at the bottom of the form. Please complete the Travel Profile Form after you have received travel approval from your agency and you have reviewed the cancellation policy. NOTE: When completing the Travel Profile form, make sure to use your legal name. Itinerary/Plane ticket will be issued using the name you provide on the form. It should match your identification.
  2. After being confirmed as a participant, and no later than the date specified for your session (SF) of the event, return the completed Travel Profile to our conference organizer at: NPDSanFrancisco@nxtevent.com or Fax to 617-307-6257.
  3. You will receive a response to your Travel Profile within 7 - 14 business days asking for your approval to proceed with final booking of the selected itinerary. You must respond to this message in order for your tickets to be issued.

Guidelines for Travel To/ From This Conference

  1. The total cost of air travel including ticket and taxes should not exceed $500.00. Some exceptions may apply and need to be confirmed in writing by NPD (Kim Coates or Holly Alperin) prior to the ticket being purchased.
  2. Written authorization to book outside of the pricing guideline is required; alternatively, the participant may elect to pay the difference in the cost of the ticket for ticketing and routes of their choice and remit payment directly to the travel agency for the difference.
  3. All tickets must be booked no later than the date specified for your session (SF) of the event; however, you are encouraged to book your travel as soon as you receive approval for travel by your agency.
  4. Although our organizers will do their best to honor the preferences outlined in your profile, your final air travel purchase will be based upon price and availability at the time of your booking
  5. CANCELLATION POLICY - All airline tickets are booked in your name and are non-refundable, and non-transferrable. Should you cancel your reservation, you and your organization will receive an invoice for the total cost of air travel including cost of ticket, any surcharges, any handling charges, and any administrative fees. All exceptions to this must be approved in writing by NPD staff - Kim Coates or Holly Alperin.
  6. In the event that you need to cancel, you must contact NXTevent to request cancelation of your airline ticket by 5:00pm EST of the last business day and not less than 24 hours prior to your scheduled departure. All other travel cancellations (hotel, shuttle, etc.) are your responsibility.
  7. Should you make air/hotel reservations for dates outside the program parameters, you are personally responsible for the additional costs associated with these reservations (including hotel, meals and additional flight costs). Exceptions to this must be pre-approved in writing by the NPD staff - Kim Coates.

 

NPD Event Reimbursement Process

Directions:  Please review the following information and fill in the required information to process your reimbursement.

The San Francisco Unified School District-National Professional Development (NPD) will reimburse approved travel costs not already provided, for team members.  Please keep all original receipts and submit to SFUSD-NPD for reimbursement in the envelope provided. Participants will receive a reimbursement form and envelope on day 1 of the event.  Reimbursement forms must be submitted within 15 days following NPD event.  All receipts must be provided; taped to an 8 ½ x 11 sheet(s) of paper and attached to the reimbursement form.

Reimbursable/Covered Expenses

  • Airline flight - up to a maximum of $500/round trip (paid directly by NPD). Once you are fully registered and a confirmed participant for the conference, you will be able to book your air travel through our conference organizers at NXTevent. See Air Travel information above.
  • Roundtrip Baggage fee for up to one bag per traveler (Receipt Required)
  • Shuttle/taxi between the SFO airport and Argonaut hotel (Receipt Required)
  • Mileage and bridge tolls for individuals driving to the event (Rate of $.55 per mile). Team members are encouraged to carpool. (Bridge toll receipts required)
  • Parking at the hotel for those driving to the event (paid directly by NPD)
  • Hotel Room and tax for February 13-15, 2012 at approved government rate of $155/night (paid directly by NPD).
  • Meals will not be provided during this event; however, NPD will reimburse participants at a daily per diem rate.

    • Tuesday, February 14, 2012 - $71.00
    • Wednesday, February 15, 2012 - $71.00
    • Thursday, February 16, 2012 – $53.25

 

Non-Reimbursable Expenses
  • Mileage to/from home airport
  • Parking at the home airport
  • Excess or overweight baggage
  • Meals outside of identified per diem
  • Rental cars
  • In-room internet charges
  • Incidental hotel charges (room service, gift shop, phone charges, etc)

 

Ground Travel

Shuttle Service between the SFO airport and hotel is available at a cost of $17.00-$18.00 each way. Shuttle service is available through Super Shuttle at the San Francisco International Airport. Please call (800-258-3826) or use www.supershuttle.com to place your reservation, 24 hour notice required.  A taxi will cost approximately $45.00-$55.00 one way.  Participants are encouraged to choose the most economical form of transportation. Reimbursements will be made for roundtrip travel between the airport and the hotel up to $65.00. Receipts are required.


Meals

Per CDC guidelines, meals will not be provided during this event. Participants will receive a flat per diem reimbursement following the event.

For those pre-approved for a 4th night at the Argonaut hotel, no additional per diem will be provided. Alcoholic beverages are not reimbursed. Receipts are NOT required
